Move with Rae is a personal training business run by Raven Marsh ("Rae," "I") in Dallas, Texas. This page explains what information I collect on movewithrae.com and in the client portal, why, who handles it, and the choices you have. Questions or requests: Raven@movewithrae.com.
What I collect
- Application form: your name, email, phone number, how you heard about me, goals, schedule, training history, and the health details you choose to share, such as pregnancy or postpartum status, injuries, pain, health conditions, medications, provider clearance, current activity and equipment.
- Free Workout Builder: your email, optional name, and your answers (life stage, days, equipment, experience).
- Client portal (clients only): your phone number, a password stored only in scrambled (hashed) form, the workouts you log, check-ins and questions you send, sessions and notes, body composition (InBody) scans, nutrition targets, and agreements you sign, including your typed name, the date and time, and the IP address and device used to sign.
- Payments: handled by Stripe. I do not see or store your card number.
- Basic technical data: like most websites, my hosting provider records IP addresses and browser details in server logs. The portal stores a sign-in token in your browser so you stay signed in. If you choose "Keep me signed in," it also keeps a copy of your latest portal information in that browser so the portal opens quickly. Signing out erases it.
The site does not use advertising cookies, tracking pixels or analytics tools.
Why I use it
- To read your application, decide whether and how I can train you safely, and follow up with you.
- To build and deliver your program, nutrition guidance, tracking and progress, and to answer your questions.
- To send your plan and occasional training notes if you used the Workout Builder. You can opt out any time (see Email and text messages).
- To keep business records, handle payments and agreements, and meet legal obligations.
Health information
Information about pregnancy, health conditions, injuries and medications is sensitive. I ask for it only so I can train you safely, and I collect it only with your consent, which you give when you submit the application. I am a personal trainer, not a healthcare provider, so this information is not a medical record and is not covered by HIPAA. I never use it for advertising and I never sell it. I do not put diagnoses or medications in your workout program.
Who handles your information
I use these service providers to run the business. They process information on my behalf and only for that purpose:
- Supabase: my client database (hosted in the United States), including applications, sessions, programs and portal data. Data is encrypted in transit and at rest.
- Airtable: my earlier client database, kept unchanged as a backup copy from before November 2026.
- Netlify: website hosting and the code behind the forms and portal. If saving an application to my database fails, Netlify stores a backup copy of the submission so it is not lost.
- Stripe: payments.
- Google: email (Gmail), booking pages and calendar, website fonts, the Google reviews shown on the site, and the Google map on the home page (Google may set its own cookies when the map loads).
- Notion: private plan pages for some clients.
- AI tools: I use an AI assistant (Claude, by Anthropic) to help draft training programs and plans from client records. It is a drafting aid, and I review everything before it reaches you.
- Recess Fitness Club: I train in-person clients at Recess. Recess handles its own membership and billing, and I do not send it your health information.
I do not sell your personal information or share it for advertising. I may disclose it if the law requires it or to protect safety.
How long I keep it
I keep client records while you are a client and afterward for as long as I need them for business, tax, safety and legal reasons. Applications that do not become clients and Workout Builder emails are kept until you ask me to delete them or I clean them out. Ask any time and I will delete what I am not required to keep.
Email and text messages
If you give me your email, I may email you about your application, your training, and, if you used the Workout Builder, your plan and occasional training notes. Reply "unsubscribe" to any email, or email me, and I will remove you from the list. If you give me your phone number, I may call or text you about your application, scheduling and your portal access. Reply STOP to a text to opt out. Message and data rates may apply.
Your choices and rights
You can ask me to tell you what information I hold about you, correct it, delete it, or give you a copy. Email me from the address you used with me, and I will respond within 45 days. Texas residents have these rights under the Texas Data Privacy and Security Act. If I decline a request, you can ask me to explain why. You can withdraw your consent to my use of your health information at any time, though I may then be unable to train you safely.
Security
Portal passwords are hashed, the site uses HTTPS, sign-in attempts are limited, and access to my database is restricted. No system is perfectly secure, so please use a password you do not use anywhere else.
Children and teens
This site is not directed to children under 13 and I do not knowingly collect information from them. If you are under 18, a parent or guardian must complete the application, sign any agreement, and be involved in your training.
Changes
If I change this page, I will update the date at the top. If a change is significant, I will tell current clients.
